Vedom home

For independent hotels on Apaleo. Mews next.

The house that knows. Every room, every shift.

The PMS owns rooms and money. Vedom owns people and work: the live day, the guests, the team, stock and the numbers, on the web and on every staff phone. Built for AI from the database up: ask it anything, or describe the tool you need and it is built on your hotel’s own data.

€5 a room a month, proposed. Everyone on the team included. Add AI when you want it.

“Who’s cleaning 214, and when is it ready?”

Ana, about 10:20.

Built on an AI architecture

The hotel that knows itself, and lets anyone shape it by talking.

The database and the architecture were designed for AI from day one. So all of the hotel’s data is reachable by talking to it, and what a hotel builds lives on its own data. Three ideas, each shown as a result.

  1. 01

Ask the house. Any question, any language, with its sources.

Anyone permitted asks about rooms, guests, staff, stock, money or history and gets an answer with its sources, in their own language. The GM asks which arrivals are behind. The new starter asks how a twin room is set up and gets the hotel’s own SOP, in Romanian.

    Design · in build
Ask Vedom as designed: “Which arrivals are behind?” answered with room 214, the Hoffmanns at 13:30, a suggested fix and the seven rooms on pace, each with its source.
  2. 02

Shape it by talking. Your own tools, built in a sentence.

In Studio a manager describes a report, an automation or a small app, and it is built on the hotel’s own data: “Track linen per floor and warn me under par.” The hotel stops paying for twenty features it doesn’t use and builds the two it does. Nothing runs until a person publishes it.

    Design · in build
Studio as designed: Mira describes linen tracking in chat, and the preview shows the log, the board and the low-linen warning it built.
  3. 03

Fits the hotel. Its SOPs, its words, its handover.

The handover starts from the PMS and the day’s notes, every line with its source, and a person signs it off. Each reader sees it in their language. The hotel’s own SOPs answer the new starter’s questions, so week one needs no course.

    Design · in build
The handover as designed: written from the day’s data, every line with its source, waiting for the duty manager’s sign-off.
  • Every answer shows where it came from
  • Small, reversible actions run only under a standing approval, and each one lands in “review what the assistant did”, with Undo
  • Switch the AI off and every screen still works

Knows the work

Everything in the hotel that isn’t the booking. In one place, built for the floor first.

The PMS knows every reservation and nothing about the people who do the work. Rota tools know the people and nothing about Tuesday’s 94%. Vedom holds both, plus the guests’ requests and the stock, so it can say what nobody else can.

  1. Today

    18 of 26 ready. 214 needs you by 10:00.

The live day: the room board, work, handover, arrivals and departures.

  2. Guests

3 requests open. Oldest is 212, 18 minutes.

In-house, profiles, one inbox, requests, reviews, events and members.

  3. Team

Saturday is two short. Open shift sent to 5.

People, rota, hours, chat with translation, learning and SOPs.

  4. Stock

Bath towels under par. Order to Weber drafted for Thursday.

Counts on the phone, par levels, suppliers and orders.

  5. Insights

€14.20 per occupied room. Down €1.10 on last week.

A written brief first, then a few quiet charts. Nobody is ranked.

  6. Settings

Who sees what. Roles, modules, connections, privacy, plan.

Your property, your rules, in one place.

Design · in build
The live room board as designed: 72 rooms by floor, stayovers quiet, rooms being cleaned with their progress, one legend with the counts.
Demo data: the lines a founding hotel would read in its own numbers.

Guests

Guests get a person. And an answer at 23:40.

WhatsApp, SMS, email and the Booking.com and Expedia messages land in one inbox, shared by the guests and the team. The Vedom Concierge answers on its own only on the topics you allow, such as breakfast times or the parking. Everything else becomes a request with an owner and a time, with a reply drafted in your tone for a person to send.

  • Every message becomes a request with an owner and a timer
  • Answers alone only within the topics the hotel allows; the rest goes to a person
  • Replies drafted from live room status and the hotel’s own answers
  • Never a booking bot, never on the phone, never a chat box on your website

The guest inbox as designed: 7 to reply, the room and the arrival next to every message, and a reply drafted in the hotel’s tone for a person to send.

The right person

Her phone, her language. No signal needed.

Every job, request and open shift goes to someone qualified and on shift, ordered by what unblocks the next arrival or the next guest. It reaches her in her own language, works in the lift and the basement, and closes with two taps and a photo.

  • The app in English, German, Italian and Romanian to start; staff content readable in 23 languages
  • Offline first: ticks and photos queue on the phone and go through on their own, no spinner
  • Nobody on the floor sees a ranking or their minutes; timings plan the house

Room 412 on the phone as designed, in Romanian: every step of the room turn and the finish.

In their own language

Bună, Ana. Same rooms, her language.

The phone app and every chat message appear in each person’s own language. Vedom translates; the original stays one tap away. Names, room numbers and times are never translated.

A team message as designed: written in Portuguese, read in Romanian.

João writesPortuguês

O quarto 214 está pronto. A torneira do chuveiro ainda pinga, já chamei a manutenção.

Hands it back

Ready in Vedom means ready in the PMS.

When the work is done, Apaleo hears it: clean, inspected, out of order, a confirmed room assignment, the minibar on the folio. The front desk gives the guest a time instead of an apology, and nobody types the same thing twice.

  • Apaleo first. Mews and Cloudbeds next, through the same connection framework.
  • Documented APIs only, with credentials issued to us. Never a borrowed login.
  • The open API is included, for the tools that need “room ready”.

Built for hotels on Apaleo; Mews and other PMSs will follow. Vedom is not affiliated with or endorsed by Apaleo or Mews.

Where the build stands

What runs today. And what doesn’t yet.

In our own test environment, with example data. No hotel uses Vedom yet, and we only claim what already works.

  • The live room board

On the web and the phone, updated as rooms change, floor by floor.

  • Room turns and inspections

Sequenced by the next arrival, and written back to the demo PMS.

  • Now and Work

What needs the duty manager now, and every open job in one list.

  • The open API

Documented and versioned (OpenAPI): rooms, room actions, work items and events.

Next: the Apaleo connection with the founding hotels, then Ask Vedom, Studio, the rota and the guest inbox.

Three ways in

Where do you fit?

  • I run a hotel.

Put your hotel forward for one of ten founding places. Shape how it’s built, and go live first.

  • I work on the floor.

See the phone app as it is designed, with example data. Nothing to sign up for. If you like it, tell your manager.

  • I build hotel software.

See the API before it opens. It is included in every plan, at no extra cost.

Founding hotels

Ten hotels shape it first. What a founding hotel gets, and gives.

You get.

  • A say in the design every two weeks
  • Your morning is the first thing we build
  • Go-live with the founder, on site or remote
  • A direct line to the founder
  • First in line for the Apaleo connection
  • An answer to every feature request, yes or no, with the reason

You give.

  • About an hour every two weeks
  • One morning where we watch the real work
  • Blunt feedback
  • A paid pilot at the public price, after the 30-day trial. Then you decide.

No founding discount. On purpose.

Every hotel pays the same public price, and founding hotels keep it for 24 months. You’ll never wonder what the next hotel negotiated, and we’ll never need to make it back from you later.

What happens to hotel and staff data?

This website sets no cookies and loads nothing from anyone else. Check it in your browser’s developer tools.

  • EU data residency by default.
  • Vedom acts as your processor under GDPR. A data processing agreement and the list of subprocessors come with every pilot.
  • AI assists, humans decide: AI never makes hiring, disciplinary or performance decisions.
  • Health and allergy notes are kept as instructions, with consent, and never sent to AI.
  • Per-person performance views are off by default. No leaderboards, no location tracking.

Questions.

Can I buy Vedom today?

No. Vedom is in build. Ten founding hotels shape it first; pilots are targeting early 2027.

How much will it cost?

€5 per room per month, proposed: minimum 20 rooms, everyone on the team included, API included, no setup fees, 30-day trial. Vedom AI and the Vedom Concierge are +€5 per room each, on or off any month.

Do founding hotels get a discount?

No. Everyone pays the same public price; founding hotels keep it for 24 months and get influence and first access.

Which PMS does it work with?

Apaleo first. Mews and Cloudbeds follow through the same connection framework. If you use another PMS, tell us which one when you sign up.

Is Vedom affiliated with Apaleo?

No. Vedom is independent and built for Apaleo’s open API.

What is Ask Vedom?

The assistant that knows the hotel. Anyone permitted asks a question in their own language and gets an answer from the hotel’s data, within what they may see, with its sources. It proposes work for a person to confirm.

What is Studio?

Where a manager builds the hotel’s own tools by describing them: a report, an automation, a small app. It runs on the hotel’s own data, and nothing runs until a person publishes it.

Does the AI talk to my guests?

Only within the topics you allow, through the Vedom Concierge, and only if you switch it on. Everything else is drafted for a person to send. It never books, never sells and never answers the phone.

Where is hotel data stored?

EU data residency by default. Vedom acts as your processor under GDPR.

What happens after I put my hotel forward?

You confirm your email first. Then the founder reads every application and replies yes, not yet or no, with the reason, within five working days. Yes means a 20-minute call about your hardest morning.

How do you pronounce Vedom?

VEH-dom.

Put your hotel forward.

Ten founding places for hotels on Apaleo. One email field, and you confirm it before anything else happens. The founder reads every application; yes means a 20-minute call about your hardest morning.

How selection works
